This policy explains what personal information W1 Digital collects, why, who we share it with, and your rights over it. We've kept it as plain as we can.

What we collect

What you give us. When you use our contact form or book a call, you give us your name and email address and — if you choose to — your phone number, website, budget, the services you're interested in, and whatever you tell us about your business. A booking also records the date and time you pick.

Collected automatically. If you allow analytics, Google Analytics records standard usage data (the pages you visit, your approximate location, and your device and browser); if you decline, none is collected. When you submit a form we also process your IP address briefly to prevent abuse — it isn't stored.

How we use it, and our legal basis

We use your information only for these purposes, each with a lawful basis as UK data protection law requires:

Reply to you and arrange a call
Our legitimate interests in responding to you, and taking steps at your request before any agreement.
Measure and improve the website
Your consent — you can allow or decline analytics, and change your mind at any time.
Keep our site and forms secure
Our legitimate interests in preventing spam, abuse, and fraud.
Meet our legal and record-keeping duties
Our legal obligations, for example accounting and tax.

Cookies and analytics

We set no advertising or tracking cookies. We use one optional analytics cookie (Google Analytics), and only if you choose “Allow analytics” on the cookie banner — decline or ignore it and no analytics cookie or request is made. We also keep a small record of your choice in your browser so we don't ask again; clearing this site's data brings the banner back.

Who we share it with

We never sell your information or share it for anyone else's marketing. We rely on a few trusted providers who process it on our behalf, under contract:

Resend

Microsoft 365
Hosts the inbox that receives your enquiry. Privacy statement (opens in a new tab).
Netlify
Hosts this website. Privacy policy (opens in a new tab).
Google Analytics
Website analytics, only if you allow it. Privacy policy (opens in a new tab).

If an enquiry email ever fails to send, our system records a short, redacted note in its server logs — only the subject line and a masked version of your email address (like a***@example.com), never your message — so we can spot and recover a lost enquiry.

Some providers are based outside the UK; where information is transferred, we rely on the safeguards UK law recognises (such as the International Data Transfer Agreement). We may also disclose information where the law requires it.

How long we keep it

We keep your information only for as long as we need it:

  • Enquiries and bookings: up to 12 months after our last contact, unless you become a client.
  • Clients: for as long as we work together, then up to 6 years, to meet UK tax and accounting rules.
  • Analytics: no longer than 14 months.
  • Your cookie choice: until you clear it.

Your rights

You can ask us to give you a copy of your information, correct it, delete it, or restrict or object to how we use it; you can also ask us to transfer it, or withdraw your consent to analytics at any time.

If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk (opens in a new tab), though we'd appreciate the chance to put it right first.
